This Privacy & Cookies page explains what information Wedding Desk collects, why it is collected, how it is used and what choices you have.
Wedding Desk is built around privacy, minimal data collection and clear use of information.
This page applies to the public website, the Wedding Desk mailing list, and any invited alpha, beta or preview version of Wedding Desk.
Analytics cookie settings
This one choice applies to Google Analytics on both public pages and the signed-in app. If accepted, Google Analytics may use an analytics cookie and receive general visit, session, broad device and coarse viewport-size information. Signed-in pages send only manual page views with fixed synthetic screen paths and small, privacy-filtered workflow events, never account or project identifiers, real private URLs or private content.
Current choice: not chosen. You can change it at any time. Necessary first-party security and error records are not controlled by this setting.
1. Privacy-first principle
Wedding Desk is designed to collect as little personal information as possible.
We do not sell personal data. We do not sell email addresses. We do not share email addresses with advertisers. We do not use personal information for unrelated marketing. We do not use project information entered into Wedding Desk to train AI models.
Any information you provide is used only for clear and limited purposes, such as sending product updates, managing future beta access requests, operating the website, providing invited alpha access, improving reliability and keeping Wedding Desk secure.
2. Who this applies to
This page applies to visitors of the Wedding Desk website, people who sign up for future beta access, and invited users of the current alpha or another preview version of Wedding Desk.
The current public website is mainly used to explain the product and collect email addresses for the Wedding Desk mailing list.
3. Information we collect on the public website
When you use the public Wedding Desk website, we aim to collect only the information needed to operate the website and manage signups.
This may include your email address if you submit it through a mailing list, update signup form or the public live-chat widget.
If you start a live chat or leave an offline question, Wedding Desk and its chat provider tawk.to process the name, email address, message and chat metadata you provide so the conversation can be answered.
Basic technical information may also be processed when the website is loaded, such as browser type, device information, IP address, timestamps and server logs. This is used only to operate, protect and troubleshoot the website.
4. Mailing list emails
If you submit your email address, we may use it to send Wedding Desk updates, launch updates, relevant product news and information about future beta access.
We do not sell your email address. We do not use it for unrelated promotions. We do not share it with advertisers.
You can unsubscribe at any time by using the unsubscribe option in an email or by contacting Wedding Desk through the contact or support options on the website.
5. Alpha and product data
If you are invited to use the current alpha or another preview version of Wedding Desk, you may enter project information into the product.
This may include wedding project details, client names, wedding dates, locations, timelines, shot lists, gear lists, vendor details, questionnaire answers, notes, uploaded files or delivery preparation information.
This information remains yours. Wedding Desk does not claim ownership of your project data.
Wedding Desk does not sell your project data, use it for advertising, publish it, share it with unrelated third parties or use it to train AI models.
Project data may be processed only to provide and maintain the service, save your workspace, enable product functionality, troubleshoot issues, provide support, improve reliability, protect the service and comply with legal obligations.
6. Cookies
Wedding Desk uses necessary cookies for account access, security, forms and essential preferences.
Google Analytics 4 loads only after you accept analytics, whether you are viewing a public page or using the signed-in app. It may then place an analytics cookie or use similar browser storage to recognise the same browser across visits and sessions.
The public tawk.to chat widget may use cookies or similar browser storage to maintain a conversation and remember widget preferences. The chat widget is separate from the Google Analytics choice.
Wedding Desk does not use advertising cookies, Google Signals, advertising identifiers or analytics for personalised advertising.
7. Analytics
Wedding Desk uses Google Analytics 4 only to understand whether the website and product work well and where improvements are needed. After consent, this may include visitor and session counts, public page visits, engagement time, general navigation, browser and broad device type, operating system, a coarse responsive viewport-size band and a general geographic region.
As part of the connection, Google receives the IP address and may use it to derive a general region. Wedding Desk does not add the IP address to analytics events and does not use analytics for precise location or fingerprinting.
Wedding Desk does not send an exact screen resolution. It uses only a small fixed viewport-size band that is useful for checking responsive layouts. Granular location and device-data collection remains disabled, so GA4 does not receive city, device name or model, full user-agent string, exact screen resolution, or minor browser and operating-system versions through that setting.
Inside the signed-in app, Wedding Desk sends only manual page views with fixed synthetic screen paths and small fixed workflow events. The real private URL, project slug, identifier and query string are never sent.
These safe events can show common screen order, engagement and where a flow stops. Examples include starting or failing project creation, adding or printing, downloading or sharing a timeline, adding a vendor, completing or reopening a shot item, saving a questionnaire or quote, marking or reopening a module, and a save failure with a fixed safe category.
Wedding Desk does not use automatic click or form capture, GA4's automatic browser-history measurement, autocapture or session replay.
Analytics never receives names, email addresses, phone numbers, account or project IDs, client or couple details, project titles, exact private URLs, query strings, notes, questionnaire answers, filenames, form values, message content or other free text.
Wedding Desk does not send a Wedding Desk user ID to Google Analytics. The analytics cookie may still recognise the same browser across consented visits and sessions, which is how GA4 can show a privacy-filtered sequence without knowing the Wedding Desk account or project. We use this information only to improve Wedding Desk, never for advertising, resale or decisions about an individual user.
One analytics choice applies to both the public website and the signed-in app. If you decline or have not yet accepted, Google Analytics does not load. You can change your choice on this page at any time; withdrawing consent stops future analytics collection. Existing analytics cookies can also be removed through your browser settings.
Necessary first-party error, reliability and security records are separate from Google Analytics and remain active even when analytics is declined. They are limited to what Wedding Desk needs to keep the service working, investigate failures and protect accounts, and are not used for advertising or general behavioural profiles.
8. Service providers
Wedding Desk uses trusted service providers for hosting, database infrastructure, authentication, email delivery, analytics, live chat, security, support, file storage or similar operational needs.
Current core providers are listed on the Data Processing page and in the internal subprocessor register.
These providers may process limited information only as needed to help Wedding Desk operate. They are not allowed to sell your data or use it for unrelated advertising purposes.
9. Legal basis
Wedding Desk processes personal information only when there is a lawful reason to do so.
For mailing list emails, the basis is your consent or your request to receive updates.
For Google Analytics on public and signed-in pages, the basis is your consent. Declining analytics does not affect access to Wedding Desk.
For live chat and offline questions, the basis is your request to communicate with Wedding Desk and, where applicable, your consent to chat storage.
For necessary service operation, error diagnosis, fraud prevention, security and technical logs, the basis may be performance of the service and the legitimate interest in operating and protecting Wedding Desk.
For alpha or product use, the basis may be providing the requested service, taking steps before offering access, legitimate interest in maintaining the service, or legal obligations where applicable.
10. How long we keep information
Mailing list email addresses are kept until you unsubscribe, ask for removal, or the list is no longer needed.
First-party technical error events are kept for up to 90 days. Security events are kept for up to 12 months where needed to investigate abuse, access failures or incidents. Short-lived rate-limit records expire sooner.
When analytics is accepted, Google Analytics user-level and event-level reporting uses Google's shortest available retention period, currently 2 months. Aggregated reports may remain available for longer. Wedding Desk configures the analytics cookie for no more than 60 days without extending that expiry on each visit; withdrawing consent stops future collection and removes accessible Google Analytics cookies from the browser.
Live chats and offline questions are kept in tawk.to while they are needed to answer and manage support. They can be deleted from the tawk.to dashboard; tawk.to may retain information longer where required by law.
Alpha or product data is kept while the account or alpha workspace is active, or as long as needed to provide the service, handle support, comply with legal obligations or resolve disputes.
Signed-in users can download an account-data export before requesting deletion from the profile area. Deletion requires a separate confirmation and the displayed confirmation phrase.
After confirmation, deletion starts immediately. The sign-in, user-owned workspace data and owned uploads are permanently deleted without a recovery period. Wedding Desk does not keep a recoverable workspace copy and cannot restore the deleted account or its workspace data.
A minimal technical record may be kept temporarily to complete a provider deletion request that was already started under an earlier analytics setup. Limited records may also be retained where required for security, legal obligations or dispute resolution. These limited records do not contain a restorable copy of the deleted workspace.
Users may store their own business payment details in the profile area for quote and invoice output. Wedding Desk does not ask users to store client bank account details in the product.
11. Security
Wedding Desk uses reasonable technical and organisational measures to protect personal information and project data.
No online service can guarantee complete security, but Wedding Desk is built with the goal of limiting unnecessary data collection and reducing privacy risk.
12. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or receive a copy of your personal information.
You may also have the right to object to certain processing or withdraw consent where processing is based on consent.
If you receive emails from Wedding Desk, you can unsubscribe at any time.
You can accept, decline or withdraw Google Analytics for both public and signed-in pages at any time in the Analytics cookie settings on this page, without losing product functionality.
You can ask Wedding Desk to access, correct or delete personal information from a live-chat conversation.
Signed-in users can download an account data export from the profile area and can confirm account deletion there.
You can contact Wedding Desk through the contact or support options on the website to make a privacy request.
13. International processing
Some service providers used by Wedding Desk may process information in countries outside your own.
Where required, Wedding Desk aims to use appropriate safeguards for international processing and to work with providers that offer suitable data protection commitments.
14. Children
Wedding Desk is intended for professional wedding photographers and videographers. It is not intended for children.
Wedding Desk does not knowingly collect personal information from children through the public website.
15. Changes to this page
Wedding Desk may update this Privacy & Cookies page as the website, alpha programme, future beta or product develops.
The latest version will be published on this page. The Last updated date shows when this page was last changed.
